Terms & Conditions

By placing a booking with Britannia Wheels Ltd, the Customer acknowledges that they have read, understood, and agree to accept the following Terms and Conditions.

The Company / Agent: Britannia Wheels Ltd, registered at 483 Green Lanes, London, N13 4BS (Company No. 15836583).
The Customer / Hirer: The person or organization making the booking.
The Driver: The driver(s) of the vehicle or the supplier of the vehicle.
The Operator: The supplying operator fulfilling the coach transport.

1. Application

1.1. These Terms apply to both written and verbal agreements.
1.2. The Terms apply when the Customer confirms the booking verbally or in writing.
1.3. The Hirer must check the booking confirmation and report errors immediately.
1.4. The Hirer is responsible for passengers’ actions, whether they travel or not.
1.5. The Hirer is liable for any additional costs incurred by the Company.

2. Quotations

2.1. All quotes are valid for 72 hours unless the travel date is within 14 days.
2.2. Prices may change after the quote period expires.
2.3. Quotations depend on vehicle availability when the deposit is paid.
2.4. The quoted price covers the vehicle and driver only unless stated otherwise.
2.5. Additional charges may apply.

3. Use of Vehicle / Purpose of the Journey

3.1. The vehicle may not be available for the Hirer’s use between the outward and return journeys unless agreed in writing.
3.2. The Company reserves the right to charge for extended timings or mileage beyond the agreed terms.
3.3. The Hirer must inform the Company about football matches, festivals, or political events at the time of booking.
3.4. Failure to notify the Company about specific event bookings may lead to cancellation without refund.

4. Vehicle Images

4.1. On request, the Company can provide a photo of the vehicle type.
4.2. The supplied vehicle may differ in make, model, or appearance.

5. Payment

5.1. Payments are only considered made when cleared in the Company’s account.
5.2. The Company does not guarantee a booking without a deposit.
5.3. Payments must reference the booking number to avoid delays.
5.4. Full payment must be made before travel unless agreed otherwise in writing.
5.5. The Company reserves the right to charge any due amount from the Hirer’s payment method at any time.
5.6. The Hirer agrees not to raise a chargeback for any payments.
5.7. If payment deadlines are missed, the Company may cancel the booking, and all payments made will be forfeited.
5.8. If payments are delayed, the Company may revise the original quotation.
5.9. Credit or business card payments may incur a processing fee unless waived in writing.

6. Invoicing

6.1. Invoice queries must be raised within seven days, otherwise, the invoice is deemed accepted.
6.2. If credit arrangements are in place, additional charges may apply.
6.3. Invoices are due for payment within seven days unless agreed otherwise.

7. Booking Confirmations and Amendments

7.1. The Customer must check the Booking Confirmation for accuracy.
7.2. Amendments are only valid once confirmed in writing and a new booking confirmation is issued.
7.3. No amendments are valid unless a new confirmation is issued.
7.4. Drivers cannot make changes to bookings.
7.5. Amendments may incur additional charges.
7.6. Admin fees for amendments are:

  • More than 7 days: £25
  • 7 days or fewer: £50
    7.7. Verbal amendments do not constitute a confirmed change.

8. Route and Time Variation

8.1. The Driver will determine the route based on road and weather conditions.
8.2. Legal stops will be made for rest and breaks.
8.3. The Hirer is responsible for passengers at stops.
8.4. The Company is not liable for losses due to passengers not following the Hirer’s instructions.
8.5. The vehicle will leave at the agreed times, and the Company is not responsible for passengers who miss the departure.
8.6. The Driver may agree to changes at their discretion, and extra charges may apply.

9. Drivers’ Hours and Rest Periods

9.1. The agreed hours must comply with regulations on Drivers’ hours and rest periods.
9.2. The Company reserves the right to change the hire if regulations are not met.
9.3. Delays may lead to adjustments to comply with the law.
9.4. The Company is not liable for delays or non-completion of services due to these regulations.

10. Delays and Breakdowns

10.1. The Company gives travel time advice but does not guarantee specific journey times.
10.2. The Driver will depart the depot with ample time to pick up the Customer.
10.3. The Company is not liable for breakdowns or delays, including en route to pick up or to the destination.
10.4. Traffic, road accidents, weather conditions, or legal compliance delays are not the Company’s responsibility.
10.5. Customers are advised to have insurance for critical journey times.

11. Additional Charges and Surcharges

11.1. The Hirer is liable for extra cleaning costs due to passengers.
11.2. Cleaning deposits may be required and refunded if not used.
11.3. Tickets, ferries, tolls, and parking are not included unless agreed.
11.4. The Company acts as an agent for tickets and passes any terms from the supplier to the Customer.
11.5. For long journeys, additional Driver charges may apply.
11.6. If overnight stays are needed for Drivers, costs are borne by the Hirer.
11.7. Driver accommodation must meet minimum standards.
11.8. Prices may change due to increased fuel costs or taxes.
11.9. Damage to vehicles caused by the Hirer or passengers will be charged.
11.10. Government-imposed taxes or charges will be passed to the Hirer.
11.11. Amendments may incur direct charges from the Driver or Company.

12. Seating Capacity

12.1. No vehicle can be overloaded beyond its legal capacity.
12.2. Passenger numbers may be split across multiple vehicles if necessary.

13. Luggage and Passengers’ Property

13.1. The vehicle capacity will account for the luggage and passengers specified at booking.
13.2. The Hirer must notify the Company of any changes to luggage or passenger numbers.
13.3. The Company is not liable for loss or damage to passengers’ property.
13.4. Valuables should not be left on the vehicle.
13.5. Lost property is stored for 30 days and is the responsibility of the Hirer or passenger to collect.

These terms outline the agreement between the Hirer and Britannia Wheels Ltd, ensuring clear communication and adherence to the booking process.
